Five details that help a service provider understand the job before a call.

Say what success looks like

Describe the finished result in plain language. Separate the essential work from optional extras so the provider can quote clearly.

Give the practical details

Include the general location, access arrangements, timing, relevant sizes and whether materials are already available. Say who can make decisions if you are organising the work from abroad.

Ask for comparable answers

Request labour, materials, travel and any exclusions separately. Compare like-for-like scopes and ask how extra work will be approved.

Keep communication simple

Agree one contact person and a way to record changes. A short written brief is easier to revisit than a long chain of voice notes.

Use the same brief for every quote

Send each provider the same scope, photographs, location and preferred dates. Ask them to separate materials, labour, travel and other charges so you can compare like for like. Record what is excluded and whether changes need written approval. A useful quote also identifies who supplies materials and clears away waste, where relevant. Keep your initial request focused: do not send identity documents or account details just to get a first estimate. If the brief changes, request a revised quote before authorising work.
